Does this work with our PM system (Zenoti, Mindbody, Vagaro, Boulevard, Meevo, Booker)?
Yes. We work with the major wax studio PM systems including Zenoti, Mindbody, Vagaro, Boulevard, Meevo/Millennium, and Booker. We can consume a lapsed-client export from your system or work from a CSV your front desk pulls. We do not write back to the PM system in beta. Appointments are booked through your normal front-desk workflow so your schedule and membership records stay the source of truth.
Specialist-led or front-desk-led outreach. Who is actually calling our clients?
Trained Winback Engine agents make the calls. They are not your wax specialists and they do not pose as them. Scripts are positioned as the studio reaching out on behalf of the client's regular wax specialist or esthetician, with the client's service history and last-visit context in front of them. Specialist name and studio name are used; service-specific recommendations are not. The agent's job is to reopen the conversation and book the next visit; the in-studio specialist owns the service from there.
How is client privacy handled?
Wax services are elective, cash-pay personal-care services and are generally outside HIPAA. Even so, we keep what agents see to a minimum: they see only the client's contact information and a recall reason code (for example, "membership paused", "last visit beyond cycle", "unfinished service package"). Agents do not see service notes, photos, or any sensitive personal detail beyond what is needed to reopen the conversation. Final script copy is reviewed by your studio or franchise compliance lead before any campaign goes live.
Is this TCPA and DNC compliant?
Yes. Phone outreach is governed by TCPA and the federal DNC registry. We work from your existing client phone numbers (collected at intake), respect DNC, document consent, and honor opt-outs immediately. Every call is recorded and reviewable. We do not send marketing email, so CAN-SPAM is not part of our footprint.

What counts as a "recovered" client, and what's the next step?
A previously inactive client (no visit in the agreed lookback window, typically 4 or more months since last appointment for cycle services, 6 or more for full-body) who we contacted and who books and attends a qualifying appointment inside the attribution window. Every call timestamp and every booking is tracked. Cancellations, no-shows that are not rebooked, and bookings from contacts we did not call are excluded.
